Tenant to Tenant mailbox migration

 

Scope

 

Clients or Customer intends to migrate their user’s mailboxes, and user’s new Microsoft 365 tenant from their existing Exchange Kiosk Edition. SATHYA Technosoft India Private Limited will engage in associated consulting, deployment, and provision of new tenant, facilitating migration, post migration uses email profile setup (up to their required users).

 

Summary

 

SATHYA Technosoft India Private Limited approach is to perform envisioning and planning services to facilitate a migration from Microsoft 365 or Exchange Online or Exchange Kiosk Edition to Microsoft 365. These efforts will focus on solution architecture, migration planning and timelines, business processes, retention, and Basic Device management. Additionally, effort will be performed to strategically focus on a positive end user experience throughout the transition.

Current Infrastructure

 

Client or customer or end user want to move their existing users from Microsoft 365 or Exchange Online or Exchange Kiosk Edition to Microsoft 365. Below will be brief details:

 Migrate from M365 or Exchange Online or Exchange Kiosk Edition to M365



High level activities:

 Following activities will be performed in the implementation phase.

 

1. Microsoft 365 Readiness Assessment and Discovery

  • Discovery of users, shared mailboxes, groups, and related objects from existing Solution and documenting the same for migration.
  • Identify potential challenges to migration and provide plan for resolution.

 

2. Microsoft 365 Tenant Provisioning

  • Provision of new tenant/ If customer having tenant Already, he needs to share the details along with POR to SATHYA Technosoft India Private Limited.
  • Domain verification
  • License assessment to accommodate migration
  • DNS records
  • Proving with all server details like IP, credentials for login.
  • Providing with one set of enterprise admin credential for provisioning of services.
  • Providing required help related to proxy connectivity/internet access.

 

3. Microsoft 365 or Exchange Online or Exchange Kiosk Edition to Office 365 Migration

SATHYA Technosoft India Private Limited will provide migration assistance from Microsoft 365 or Exchange Online or Exchange Kiosk Edition to new Microsoft 365 Tenant. SATHYA Technosoft India Private Limited will perform this activity with a reasonable co-ordination with customer and may ask the customer to furnish required technical/organizational details related to migration.

 

Microsoft 365 or Exchange Online or Exchange Kiosk Edition migration

Microsoft 365 provides integrated Exchange Kiosk Edition feature for mail, contacts, and calendars. It uses IMAP with REST API for migration.

 

Below services will be performed by SATHYA Technosoft India Private Limited

  • Migration readiness check at both source and destination and provide resolution if problems/roadblocks detected.
  • Migration end-point creation and verification
  • Preparing migration phase/batch according to customer need and provide the timeline.
  • Preparing user batches for migration.
  • Preparing the migration end point.
  • Start/stop/resume migration.
  • Migration monitoring and resolution for problems related to migration.
  • Verification of data integrity and data transfer.
  • Migration finalization and clean up.
  • MX record change planning.
  • MX record change
  • Enabling MFA for all the users.


Below Help needed from customer.

  • Providing technical/organization details related to migration.
  • Providing Global Administrator credential to SATHYA Technosoft India Private Limited for destination tenant.
  • Verification of data integrity and data transfer.
  • Enable IMAP access and allow less secure app to connect.

 

Migration Limitations

  • Only Emails, calendar and contacts will be migrated.
  • Poison messages, emails which are poorly encoded or not supported at exchange online will not be migrated.
  • Emails which deemed to be dangerous for exchange transports will not be migrated.
  • Maximum main size (including attachment 35MB).
  • Object limit for migration is 5,00,000
  • DLs will not be migrated.

 

4.  M365 or Exchange Online or Exchange Kiosk Edition to M365 Migration

This part describes high level approach methodologies to achieve objective of migrating Users for Business files to destination tenant. This is also statement of work to be performed by SATHYA Technosoft India Private Limited

For the migration process a third-party tool will be involved. The tool will use Global admin credentials at both source and destination tenant to access perform the migration.

 

What Items are Migrated?

  • All supported file types
  • Files with ownership with user.

 

What Items are not migrated?

  • Orphan files
  • File with conflicting ownership (Tool will decide ownership based on first claim)
  • Unsupported and malware inflected files

Tool will scan for source files and unnecessary folder structed will be removed. All supported files and folder hierarchy will be migrated.

 

5. Post migration Security and Configuration

SATHYA Technosoft India Private Limited will setup basic security and configuration setting for customer and work together with customer IT team for setting up practices. 

Customer to provide us with block list, alert, and audit types.

 

6. Post migration Support and Adoption

SATHYA Technosoft India Private Limited will provide post migration Admin training for 2 hours via Microsoft Teams. Post migration support for any Microsoft 365 administration related issues up to 7 days from date of conclusion of migration.

  • 2 hours training on Microsoft Teams for Office 365 Administration only.
  • 7 days support on phone/email/teams for Office 365 Administration only.
  • Basic support will be given by SATHYA Technosoft India Private Limited Team for mailboxes.
  • 1-day virtual training for end users to make them familiar with Office 365.
  • Onboarding material to be provided for IT Team.

 

7. Take Sign off

 

Project Pre-requisites:

  • Global Admin credential and Super admin credential for source and destination.
  • Dedicated system with Windows 10/PowerShell for migration management.
  • User list, email address to be shared for both source and destination.

 

Assumptions:

  • Customer has procured necessary licenses, hardware and software, certificates, internet access and operational approvals.
  • Customer has already setup servers in rack and provisioned them.
  • Customer to allow SATHYA Technosoft India Private Limited Engineering team/persons to their premise and server room for operational access.
  • Customer will configure on-premises network and firewall to access office 365 and related services.
  • Customer to provide necessary credentials to SATHYA Technosoft India Private Limited for migration and server setup.
  • Customer to allow their IT team to co-ordinate with SATHYA Technosoft India Private Limited

   

Out of Scope:

Anything not stated in the vision and scope document shall be deemed as out-of-scope including and not limited to

  • Any administrative/maintenance/support related to existing email solution.
  • Any administrative/maintenance/support related to existing AD, ADFS, ADFS proxy.
  • Server hardening, server maintenance and Server updates.
  • Network and Firewall related tasks.
  • DL creation, User creation, Group, and object creation.
  • The removal, uninstallation, retirement, decommissioning, or any of the activities related with removing any elements of the existing messaging platform.
  • Any production and support related issues of existing Domain Controllers
  • Any domain services implementation/upgradation
  • Network / communication related issues.
  • Adding TXT record on domain registrar’s website.
  • Any other application migration from on- premises to office 365
  • Any data migration to One Drive/SharePoint
  • Integration with other applications which are not part of this proposal.
  • Configuration changes in the hardware routers / switches / firewall.
  • Enabling required Ports
  • Any setting change/Integration with Gateway/third party ATP/Third party DLP.
  • ISP configuration settings on the router / modem.
  • OS, Client installation & up gradation will be out of scope
  • Any version of MS office upgradation/installation
  • MS office service pack installation
  • Client/outlook configuration more than 5 users.
  • Migration of PST data, centrally archived data, or encrypted mail.
  • Archiving for Exchange Online setup is out of scope, except for service enablement.
  • Skype for Business/Teams configuration is out of scope beyond basic service activation.
  • Active Directory remediation outside of consultation. SATHYA Technosoft India Private Limited will perform discovery and make recommendations; however, Customer will be required to make the actual changes.
  • Off boarding pilot users from the Microsoft 365 platform.
  • Configuration of UM in Microsoft 365.
  • Any remote location visits by SATHYA Technosoft India Private Limited consultant apart from Office where project is being executed.
  • In addition to the above points, all points that are not mentioned explicitly in scope of work are out of scope of this project proposal.

 

Timeline:

Estimated Project Duration shall be accumulated subject to the following pre-requisites being fully completed:

  • Work Order Signed received
  • Clients provide all the necessary pre-requisite resources
  • Client Staff allocated for the project

Total Activity Time for this implementation is: depending on the number of users.

One Time Cost – ₹ 800.00 INR / Per Mailbox – GST Extra
